Nogales Psychological Counseling, a sister company of Casa de la Familia, is looking for a Case Manager/Administrative Assistant to join our team!

We are looking for a responsible Case Manager/Administrative Assistant to perform a variety of case management and administrative tasks. Duties include providing support to our clinical team, assisting with client coordination and follow-ups, and managing our company’s general administrative activities.
Responsibilities include maintaining accurate client records, scheduling appointments, preparing reports, and ensuring smooth communication between clients, clinicians, and administrative staff. The ideal candidate should have excellent communication and organizational skills and be able to manage multiple priorities efficiently.
Ultimately, a successful Case Manager/Administrative Assistant should ensure the efficient and compassionate coordination of client services and day-to-day operations of the office.
Assist clients with intake and follow-up communication
Maintain and update client files and records
Coordinate appointments and schedules for clients and clinicians
Answer and direct phone calls and inquiries
Write and distribute emails, memos, letters, and forms
Prepare and maintain reports as needed
Develop and maintain filing and record-keeping systems
Support clinicians and managers with case-related administrative needs
Maintain contact lists and coordinate with external partners as needed
Provide general support to visitors and clients
Act as a point of contact for internal and external communication
Proven experience as a case manager, administrative assistant, or similar role
Knowledge of office management systems and procedures
Strong organizational and problem-solving skills
Excellent written and verbal communication skills
Proficiency in MS Office (Excel, Word, and PowerPoint in particular)
Ability to prioritize and multitask effectively
Attention to detail and strong interpersonal skills
Fluent in Spanish and English
Courses taken in psychology, social work, or sociology preferred
